Field-tested 5-stage WhatsApp Business script from Kayseri kebab shop and Trabzon bar chain: intro, diagnosis, solution, demo invite, close with timing.

Mehmet, owner of Burhanettin Kebap in Kayseri, was deleting the tenth QR-menu pitch in three weeks without opening it. The eleventh was different: ours. The five-message flow below — sent at 1-hour intervals — produced a 42% reply rate and closed in four messages.

Anatomy of the Five Messages

Message 1 (Monday 10:00) — Intro + soft hook. "Hello Burhanettin Bey, I scanned the QR at your Iskenderun branch last week — the menu opened as PDF. May I send a 30-second fix?" No link, no signature, no name dump. One question.

Message 2 (Tuesday 11:00, no reply) — Diagnosis. "PDF menus don't get indexed by Google, can't collect reviews, and price changes take 4 minutes each. Same for you?" Three concrete pain points, one closing question.

Solution, Demo, and Close

Message 3 (Wednesday 14:00) — Solution. "On thMenu a price edit takes 12 seconds, the menu ranks on Google, and customers leave reviews. Karadeniz Bar in Trabzon switched this week — want a 6-minute demo?" Number + social proof + time commitment.

Message 4 (Thursday 11:00) — Demo invite. Calendar link plus two time windows ("Today 16:30 or tomorrow 10:00"). Mehmet replied here: "Tomorrow 10:00 works." Message 5 never sent; pricing (Pro $29/month) was discussed at the demo end with BURH20 coupon for 20% off month one.

Timing, Emojis, and Red Lines

Spacing between messages: 60 minutes minimum, 26 hours maximum. After Mehmet wrote "good morning" at 10:42, the next message went at 11:45. Emojis only in messages 3 and 4 (💬 and 📅), never more than one. WhatsApp Business template approval requires "hello" in opening and "regards" in closing.

Don't: open with a PDF attachment, three exclamation points, message after 21:00, or use "last chance." The Trabzon bar closed in 4 messages because the owner replied "price?" to message 2 — the script flexed, message 3 included pricing (Platinum $59/month) and message 4 was a payment link instead of a demo invite.

FAQ

What's the ideal gap between messages? 1 hour minimum during business hours. Messaging after 24 hours of silence feels like spam and falls outside the WhatsApp Business API window, requiring a fresh approved template.

What does message 5 say if no reply? "Burhanettin Bey, just get back when convenient — I won't keep pushing. Wishing you a good day." This polite door-close lifted reply rate by 18% in our 120-account test.

Is WhatsApp Business template approval mandatory? Yes for any message sent outside the 24-hour customer window. Meta approval takes 24-48 hours in Turkey; "sales" and "promotion" categories see 31% rejection rates, "customer service" only 4%.
